1. Purpose

This policy describes the cancellation, postponement, credit and refund conditions applicable to the administrative and logistical coordination services offered by My Medical Getaway Inc.

It supplements, where applicable, the service agreement, terms of service, privacy policy and limitations and exclusions of liability.

My Medical Getaway Inc. acts only as an administrative and logistical coordination service. Medical care and services provided by third parties, including transportation, accommodation, insurance, agencies, excursions or other services, are provided by independent providers and remain subject to their own policies.

 

2. Currency

The prices for My Medical Getaway Inc.’s coordination services are displayed in Canadian dollars, taxes included, unless otherwise indicated.

When an equivalent amount in U.S. dollars is shown, it is provided for reference only. The actual amount may vary depending on the applicable exchange rate, conversion fees and payment conditions at the time of the transaction.

 

3. General principles

Fees charged by My Medical Getaway Inc. cover administrative and logistical coordination services, including processing time, file organization, communications, planning and steps taken with independent providers.

Depending on the stage of the file, certain steps may be undertaken shortly after payment, including administrative review of the file, transmission of information, appointment requests, coordination with third parties or preparation of documents.

Refunds, where applicable, take into account the progress of the file, work already completed, costs incurred and the policies of the independent providers concerned.

 

4. File opening fee

The file opening fee covers the administrative start-up and initial processing of the file.

This fee is non-refundable.

However, the file opening fee may be credited toward an eligible My Medical Getaway Inc. coordination package, for the same file, according to the terms indicated at the time of purchase.

 

5. Coordination package

5.1 Cancellation before coordination has effectively started

A cancellation before coordination has effectively started may result in a full or partial refund, depending on the situation, when:

• no appointment request has been made;

• no active planning has been initiated;

• no independent provider has been mobilized;

• no personalized document has been prepared;

• no file transmission has taken place.

My Medical Getaway Inc. may retain reasonable fees corresponding to work already completed, where applicable.

5.2 Cancellation after coordination has started

Once coordination has started, including steps with independent providers, appointment requests, information transmission, document preparation, personalized communications or active planning, the coordination package may become non-refundable, in whole or in part.

My Medical Getaway Inc. will assess each request based on the stage of the file, work already completed and applicable circumstances.

5.3 Fees or policies of independent providers

If an independent provider, including a medical facility, healthcare professional, transportation provider, hotel, agency, insurer or other supplier, imposes fees, penalties, delays or cancellation conditions, these are governed exclusively by that provider’s own policy.

My Medical Getaway Inc. does not control these policies and is not responsible for the decisions, delays, fees or refunds applied by these providers.

 

6. Options and additional services

Certain options or additional services may be offered upon request, on an optional basis and subject to availability, including coordination of local transportation, airport reception, accommodation, excursions or introductions to an independent provider.

These options may be subject to their own conditions, which may be specified before purchase or booking.

When an option has been booked, organized or confirmed with an independent provider, it may become non-refundable, in whole or in part, depending on the conditions of the provider concerned and the coordination work already completed.

 

7. Postponements, date changes and rescheduling

Postponements, date changes or rescheduling are possible only according to the availability, timelines and policies of the independent providers concerned.

My Medical Getaway Inc. will make reasonable efforts to facilitate rescheduling, but does not guarantee the availability of the same dates, facilities, professionals, services, prices or conditions.

Administrative fees from My Medical Getaway Inc. may apply when significant coordination steps have already been completed.

 

8. Third-party services and payments made to third parties

Amounts paid directly to third parties, including medical centers, clinics, hospitals, transportation providers, hotels, travel agencies, insurers, excursion providers, platforms or other suppliers, are subject to their own modification, cancellation, credit and refund conditions.

My Medical Getaway Inc. does not control the refund policies of independent providers and is not responsible for their decisions, delays, fees, credits, postponements or refund terms.

 

9. Refund method, where applicable

Any eligible refund is generally processed through the same payment method used for the initial transaction, subject to the payment platform’s rules, required verifications and applicable processing times.

Refund timelines may vary depending on the payment platform, financial institution and required verifications.

 

10. Fraud, misuse or failure to comply

My Medical Getaway Inc. may refuse a refund, suspend coordination or terminate the service in the event of fraud, attempted circumvention, misuse, failure to comply with the client’s obligations, false or misleading information, or conduct that compromises the proper performance of the service.

 

11. Force majeure and events beyond control

In the event of circumstances beyond the reasonable control of My Medical Getaway Inc., including natural disasters, government decisions, closures, strikes, technology failures, weather events, health crises, transportation delays or other major events, My Medical Getaway Inc. may offer, where possible, reasonable options such as postponement or rescheduling.

A full refund cannot be guaranteed where costs, steps or services have already been incurred or completed.

 

12. U.S. clients and HIPAA

If the client is located in the United States, the client understands that My Medical Getaway Inc. is an administrative and logistical coordination company.

My Medical Getaway Inc. is generally not a “covered entity” or “business associate” under the U.S. Health Insurance Portability and Accountability Act, commonly known as HIPAA.

Medical care and third-party services are provided exclusively by independent providers and remain subject to their own policies, including cancellation, credit and refund policies.

 

13. Governing law and jurisdiction

This policy is governed by the applicable laws of the Province of Québec and the applicable federal laws of Canada.

Subject to mandatory consumer protection rights, any dispute relating to the services of My Medical Getaway Inc. shall be submitted to the competent courts of the Province of Québec.
