PRIVACY POLICY — My Medical Getaway Inc. (MMG)

1. Who we are
My Medical Getaway Inc. is a Canadian company providing administrative and logistical coordination services for planned medical travel abroad. My Medical Getaway Inc. does not provide medical care, make diagnoses or offer medical advice. Our role is to facilitate certain administrative, documentation, language and logistical steps, based on the client’s request and the information provided.

 

2. Scope of this policy
This policy explains how we collect, use, disclose, transfer, retain and protect your personal information, including certain sensitive information such as health-related information, when you use our website, forms, communications or services.

 

3. Information we collect
Depending on your situation and the services requested, we may collect the following information:

  • Identity and contact information: name, date of birth, address, email, phone number, province, state or country, and communication preferences.

  • Sensitive health-related information: medical history, symptoms, medication, allergies, tests, medical documents submitted, consultation goals or information related to your request.

  • Travel and logistics information: intended dates, destination, accommodation or transportation preferences, and other information useful for coordinating the stay.

  • Payments related to My Medical Getaway Inc.: information relating to the payment of our coordination fees. Payments are processed through a secure payment platform. My Medical Getaway Inc. does not store full payment card numbers.

  • Technical data: IP address, device type, browser, security logs, browsing data and cookies, where applicable.

 

4. Why we use your information
We use your personal information to:

  • verify the completeness of the information submitted;

  • coordinate the administrative and logistical steps of your file;

  • communicate with you about your request, documents, next steps or confirmations;

  • transmit, with your consent where required, certain necessary information to independent providers in order to facilitate a feasibility review, estimate, appointment request or planning process;

  • ensure security, traceability, fraud prevention, consent management and compliance;

  • improve our internal processes, communications and service quality, while limiting access to information to what is strictly necessary.

My Medical Getaway Inc. does not use your personal information to make automated decisions that produce legal or significant effects concerning you.

 

5. Disclosure to independent third parties
Depending on your request and with the required authorizations, we may disclose certain information to:

  • independent clinics, hospitals, physicians or healthcare professionals;

  • independent logistical providers, including transportation providers, agencies or accommodation partners, when necessary for coordination;

  • technology providers that assist us with hosting, forms, messaging, customer relationship management, security or payments.

These third parties may be located in Québec, elsewhere in Canada or abroad. We limit the information disclosed to what is reasonably necessary for the intended purpose.

 

6. Transfers outside Québec and outside Canada
As part of planned medical travel abroad, your personal information, including certain health-related information, may be disclosed, accessed or processed outside Québec or Canada by independent medical, logistical or technology providers.

The laws of those jurisdictions may provide a different level of protection than those applicable in Québec or Canada. My Medical Getaway Inc. implements reasonable protection measures, including access controls, disclosure limits and, where possible, appropriate contractual commitments.

 

7. U.S. clients and HIPAA
My Medical Getaway Inc. is an administrative and logistical coordination company. It is generally not a “covered entity” or “business associate” under the U.S. Health Insurance Portability and Accountability Act, commonly known as HIPAA.

Even where HIPAA does not directly apply to our services, we apply reasonable privacy and security measures to protect the personal and health-related information you provide to us.

 

8. Consent
Where required by law, we obtain your consent for the collection, use, disclosure or transfer of your personal information, particularly when sensitive or health-related information is involved.

You may withdraw your consent, subject to applicable legal, contractual or administrative obligations. However, withdrawing certain essential consents may limit or prevent us from continuing the requested coordination.

 

9. Retention and destruction
We retain your personal information only for as long as necessary for the purposes described, the provision of our services, the management of your file and our legal, tax, administrative or evidentiary obligations.

When the information is no longer required, it is destroyed or anonymized in accordance with our internal procedures and applicable requirements.

 

10. Security measures
We apply reasonable and proportionate measures to protect your personal information, including:

  • access controls;

  • access limitation based on operational need;

  • secure transmission where possible;

  • logging and traceability;

  • appropriate technical and organizational safeguards;

  • internal procedures in the event of a confidentiality incident.

In the event of a confidentiality incident, My Medical Getaway Inc. follows an incident management process that includes risk assessment, documentation of the incident and, where required by law, notification to affected individuals and competent authorities.

Subject to applicable laws, you may request:

  • access to your personal information;

  • correction of inaccurate or incomplete information;

  • information about the use, disclosure or retention of your information;

  • withdrawal of certain consents;

  • the filing of a complaint with My Medical Getaway Inc.;

  • the filing of a complaint with the competent privacy authority.
