My Medical Getaway Inc. places great importance on the protection of the personal information and health information entrusted to it.

This Privacy Policy explains how My Medical Getaway Inc. collects, uses, retains, discloses and protects personal information in connection with its administrative and logistical coordination services for planned medical travel abroad.

My Medical Getaway Inc. acts solely as an administrative and logistical coordination company. It does not provide medical care, medical advice, diagnosis, prescriptions, treatment, clinical opinions or medical guarantees.

 

1. Scope

This Policy applies to personal information collected by My Medical Getaway Inc., including through:

  • the My Medical Getaway website;

  • online forms;

  • the information or health questionnaire;

  • communications by email, telephone, form, videoconference or messaging;

  • documents submitted by a client or by an authorized person;

  • exchanges related to the opening, review, preparation or coordination of a file.

This Policy applies to clients, prospective clients, accompanying persons, authorized representatives or any person who provides information to My Medical Getaway Inc.

 

2. Nature of the Information Collected

Depending on the nature of the request, My Medical Getaway Inc. may collect the following information:

Identification Information

  • first and last name;

  • date of birth;

  • address;

  • telephone number;

  • email address;

  • country, province or region of residence;

  • preferred language of communication;

  • information required to confirm identity or authorization to act on behalf of another person.

 

Information Related to the Planned Stay

  • intended destination;

  • desired departure period;

  • general type of care, consultation, examination or service sought;

  • specific administrative, logistical or practical needs;

  • preferences related to accommodation, transportation or assistance;

  • information concerning accompanying persons, when necessary.

 

Personal and Health Information

When the client voluntarily chooses to provide it, My Medical Getaway Inc. may collect certain health information, including:

  • general medical history;

  • known medical conditions;

  • declared medications;

  • allergies;

  • medical examinations or reports submitted;

  • results, prescriptions, images, referrals or other medical documents provided by the client;

  • information necessary for the preliminary review of a request by an independent provider.

My Medical Getaway Inc. collects only the information necessary for the purposes set out in this Policy.

 

3. Purposes of Collection

Personal and health information is collected, used and retained only for specific, serious and legitimate purposes, including to:

  • receive and review an information request;

  • open a client file;

  • verify that the required information is present;

  • prepare an administrative or logistical file;

  • disclose, with consent, certain information to a healthcare facility, clinic, physician, healthcare professional or other relevant independent provider;

  • allow an independent provider to conduct a preliminary review of the request;

  • obtain, when possible, an estimate, general information, availability or next steps proposed by an independent provider;

  • coordinate administrative and logistical communications between the client and the relevant providers;

  • plan certain practical aspects of the stay, where applicable;

  • provide administrative follow-up on the file;

  • respond to the client’s questions;

  • comply with applicable legal, regulatory, accounting, tax or record-retention obligations;

  • protect the rights, interests and responsibilities of My Medical Getaway Inc.

My Medical Getaway Inc. does not use personal or health information to establish a diagnosis, recommend treatment, interpret medical results or provide a clinical opinion.

 

4. Consent

By completing a form, submitting information or communicating with My Medical Getaway Inc., the client consents to the collection, use, retention and disclosure of their personal information in accordance with this Policy.

When sensitive information, including health information, is collected, used or disclosed, My Medical Getaway Inc. requests clear and explicit consent where required. Québec’s Law 25 provides, among other things, that sensitive information requires express consent when it is used for a purpose other than the one stated at the time of collection.

The client may refuse to provide certain information. However, a refusal or incomplete information may prevent My Medical Getaway Inc. from reviewing the request, preparing the file or coordinating certain steps.

The client may withdraw consent, subject to applicable legal, contractual or administrative obligations. Withdrawal of consent may limit or prevent the continuation of the services.

 

5. Disclosure to Independent Providers

With the client’s consent, My Medical Getaway Inc. may disclose certain personal and health information to relevant independent providers, including:

  • healthcare facilities;

  • clinics;

  • physicians;

  • healthcare professionals;

  • laboratories;

  • imaging centres;

  • foreign medical coordinators;

  • transportation providers;

  • hotels or accommodation providers;

  • translators or interpreters;

  • insurers or assistance providers, when requested by the client or when necessary;

  • other providers necessary for the administrative or logistical coordination of the file.

These providers are independent from My Medical Getaway Inc. They are responsible for their own services, decisions, professional obligations, privacy policies, security measures and processing of the information they receive.

My Medical Getaway Inc. does not control the medical decisions, clinical acts, final medical prices, timelines, availability, complications, outcomes or medical follow-up provided by these independent providers.

 

6. Disclosure Outside Québec and Outside Canada

Because the services coordinated by My Medical Getaway Inc. may involve providers located outside Québec or Canada, certain personal and health information may be disclosed, processed or retained in another province, country or jurisdiction.

These jurisdictions may have privacy laws that differ from those of Québec or Canada.

Before any necessary disclosure abroad, My Medical Getaway Inc. ensures, to the extent reasonably possible, that the disclosure is related to the purpose of the file and that the information transmitted is limited to what is necessary.

The client acknowledges that the transmission of information to independent providers located abroad may be necessary to allow the review of their request, the possible preparation of an estimate, the planning of the stay or the administrative and logistical coordination of their journey.

 

7. Payments and Financial Information

My Medical Getaway Inc. may use secure third-party payment tools, including those integrated into its web platform or provided by its technology providers.

My Medical Getaway Inc. does not retain full credit card information when payment is processed by a secure external provider.

Medical, hospital, professional or clinical payments required by independent providers are separate from the coordination fees charged by My Medical Getaway Inc. These medical fees are paid directly to the relevant provider, according to their own policies, terms, quotes, payment, refund or cancellation conditions.

 

8. Electronic Communications

My Medical Getaway Inc. may communicate with the client by email, telephone, form, SMS or other electronic means to:

  • confirm receipt of a request;

  • send information related to the file;

  • request additional information or documents;

  • send administrative or logistical instructions;

  • communicate confirmations;

  • provide follow-up on the file;

  • send documents related to the client’s journey.

 

Communications strictly related to the file are necessary for the processing of the request and the coordination of services.

When My Medical Getaway Inc. wishes to send promotional communications, news, offers or marketing information, it requests separate consent where required. Canada’s Anti-Spam Legislation generally requires consent, identification of the sender and an unsubscribe mechanism for commercial electronic messages.

The client may withdraw consent to promotional communications at any time.

 

9. Cookies, Technological Tools and Browsing Data

The My Medical Getaway Inc. website may use certain cookies, pixels, analytics tools or similar technologies to:

  • ensure the proper functioning of the website;

  • improve the user experience;

  • measure website traffic;

  • understand which pages are viewed;

  • improve content and services;

  • support certain form or security features.

 

These tools may collect certain technical information, such as:

  • pages viewed;

  • approximate duration of the visit;

My Medical Getaway Inc. retains personal information only for as long as necessary for the purposes for which it was collected, subject to applicable legal, tax, accounting, contractual or evidentiary obligations.

Information may be retained, in particular, to:

  • process a request;

  • provide follow-up on a file;

  • document the consents obtained;

  • comply with legal obligations;

  • prevent disputes;

  • protect the rights of My Medical Getaway Inc.;

  • respond to access, correction or verification requests.

When the information is no longer necessary, My Medical Getaway Inc. takes reasonable measures to destroy, anonymize or securely delete it, in accordance with applicable practices.

The client is responsible for providing accurate, complete and up-to-date information.

Incomplete, inaccurate or omitted information may limit the review of the request, delay the processing of the file or prevent certain independent providers from conducting a preliminary assessment.

The client may request the correction of inaccurate or incomplete information concerning them.

 

13. Access, Correction and Withdrawal of Consent

Subject to the exceptions provided by law, the client may request:

  • access to the personal information held by My Medical Getaway Inc. about them;

  • correction of inaccurate, incomplete or ambiguous information;

  • withdrawal of consent for certain uses or disclosures;

  • information about how their information is used or disclosed;

  • deletion of certain information, where possible and applicable.

Any request must be sent to the person responsible for the protection of personal information at the address indicated in Section 18.

My Medical Getaway Inc. will respond to requests within the time limits provided by applicable laws.

 

14. Information Concerning Another Person

When a person completes a form or communicates with My Medical Getaway Inc. on behalf of another person, they confirm that they are legally authorized to do so.

They also confirm that they have obtained the necessary consents to transmit the personal or health information of the person concerned.

My Medical Getaway Inc. may request proof of authorization where necessary.

The services of My Medical Getaway Inc. are intended for persons who have the legal capacity to consent or for persons represented by a parent, guardian, mandatary or authorized legal representative.

When a file concerns a minor or a person who is unable to consent alone, the information must be provided by a person legally authorized to act on their behalf.
